Plan on printing a lot more than you think. Leave room in the budget and bring a printer and paper on site. Here is a quick list of things we ended up printing either ahead of time or last minute:

  • Big ass schedules for the walls. These things are expensive (about $80/each) and take time so get them done in advance.
  • Small schedules for people to take with them. This was the most expensive chunk that we spent. Several hundred dollars (maybe $700 including all materials and printing costs?). We actually rolled our own a bit thanks to advice from some local scrapbookers and paper sales people. Legit printing would have been way too much.
  • Include maps to parties and any sponsored hotels, as well as places to find food if you can and any major transportation routes
  • Signs with arrows. We used them for a variety of things. Put a sticker on a pice of paper, add a arrow in print or marker, and go! We probably went through 25 or more of these.
  • Schedules in fron of doors. I've seen everything from officially printed schedules to post it pads with nice printing. Do it with styyyyylllllle.
  • Receipts for people who randomly needed receipts for whatever.
  • Printing boarding tickets for people who asked who didn't want to leave early to do that at the airport
  • Stickers. Have plone stickers, conference stickers, and fun stickers on hand.
  • In 2011 we had rubber stamps as well for making things look official when signed (instead of getting logo paper) and then later for on the fly tramp stamps.
